Ways to Work More Efficiently

It's important to take steps to maximize your productivity at work. Here are six tips that can help you to work more efficiently:


1. Manage Your Time Effectively

  • Create A Schedule: It's important to create a schedule for each workday. In addition, always have a longer range schedule that includes what you plan to accomplish in the week or month.

  • Avoid Distractions: While it is impossible to avoid all distractions, don't let them take up too much of your time. Don't surf the internet during work hours and don't get engaged in any non-work related tasks.

  • Take Breaks: Taking short breaks throughout the day is better than simply taking one long break. If you forgo taking breaks, you're likely to become burned out and unproductive.

2. Pay Attention To Sleep, Diet, And Exercise

If you don't get a good nights sleep, it is often impossible to function at your best. Most healthy adults need 7-8 hours of sleep per night. Here are a few tips that can help you get a good sleep:

  • Don't drink any caffeinated beverages in the evening. Many soft drinks are caffeinated.

  • Nicotine can reduce sleep quality as well.

  • Avoid looking at electronic screens within thirty minutes of bedtime.

  • Don't take naps during the day. Taking naps can make it more difficult to get to sleep at night.

  • Have a relaxation routine every night before going going to bed. Meditation is one highly effective relaxation routine.

  • Go outdoors at some point each day.

  • Exercise is important, but don't exercise too close to bedtime.


Exercise is important for work productivity due its effects on the brain. Always get at least 2 and a half hours of moderate intensity cardiovascular exercise per week. Exercise at least three days of the week. If you're doing vigorous cardiovascular exercise, 1.25 hours a week may be sufficient. It's also important to incorporate strength and flexibility training.


Diet can have a powerful effect on your work productivity. Always follow the guidelines of the USDA food pyramid.


3. Reward Yourself For Accomplishments

Always reward yourself for your significant accomplishments. It's likely that you'll become burned out if you don't have something to look forward to. There are many ways that you can reward yourself, but here are some common ways of rewarding yourself for success:

  • Go out to eat at a restaurant.

  • Watch a movie.

  • Enjoy a good beer or wine.

  • Order food from a restaurant.

  • Get a new CD or download some new songs.

  • Go to a concert or show at a local venue.


4. Have The Right Software

It's essential to have all necessary software on your computer(s). While the specific type of software that you need varies depending on the type of work that you do, here are some good general software programs to increase productivity:

  • Asana

  • Boxer

  • Evernote

  • Hootsuite

  • Slack

If you use a Mac you can still run these programs with an app like Parallels for Mac.


5. Ensure That Your Work Environment Is Well Organized

Clutter can lead to distractions. In addition, clutter makes it difficult to find the items that you need. Always have a place for all items that you need. Always return them to their places when you are finished with them. Here are some tips for organizing your office space:

  • Get rid of unnecessary items on your desk.

  • Don't keep too much on your desk.

  • Items that aren't on your desk should be kept in drawers. Avoid placing items on the floor.

  • Keep papers stacked.


6. Teamwork Is Crucial

Teamwork can make it possible to get more done in a short amount of time. If you aren't able to effectively work with others, productivity can be decreased rather than increased. Here are some ways that you can improve your ability to work with other people:

  • Remain calm during disputes between team members.

  • Always complete all tasks that the team expects of you.

  • If you are in the position of organizing the team, make sure that the team is well organized.

  • Use the proper channels of communication when interacting with other team members.
